Tanbark Association of Neighbors Board of Directors Meeting
January 22, 2009 7:00 pm
The TAN Board meeting was held at Twin Pines Christian Church and was called to order by President Gordon Huffer. Present were Board Members Gordon Huffer, John Irvin, Phyllis Peters, Lenora Gusler, Zoya Orlov, David Carpenter, and Becky Ray.
The Minutes of the previous Board meeting on October 22, 2008 were submitted and approved. The Treasurer’s Report was submitted and adopted with a motion by John Irvin that was seconded by Becky Ray and approved by the Board. A copy of this report will be attached hereto in the Secretary’s notebook and thereby made a part of the minutes. Lenora gave Board members a 2009 TAN annual invoice and a similar one will be sent to the TAN neighborhood residents. Gordon submitted a water bill for May 2008 to October 2008 for watering our entrance gardens etc. Several e- mail addresses were updated.
Old Business:
· Christmas Decorations: Feedback from the neighborhood was positive. Gordon suggested adding candy canes. He bought some LED net lights for the Crosby entrance. He informed us of an additional payment to M. Gault for the decorating. Gordon also recommended that we set up a Decorating Committee. This motion was so moved by David Carpenter and seconded by Becky Ray and approved by the Board.
· Nominating Committee: Gordon recommended that we, the Board, be the Nominating Committee and that each of us , Board members, be on a committee and represent the TAN Board. We agreed to this plan. Other committees suggested and committee members that have volunteered or been recommended so far are as follows:
· Welcoming Committee-Debbie Waggoner
· Landscape & Maintenance Committee-Marge Leinbach ?
· Progressive Dinner Committee– Lenora Gusler
· Newsletter Committee- Marge Leinbach
· Annual Dinner Meeting Committee- Phyllis Peters, Vickie Robertson?
· Red, White, and Blue Festival Committee-(is our biggest event)
We followed this with several discussions. Volunteers will be solicited from the neighborhood to serve on these committees. Zoya suggested that we post the minutes and the treasurer’s report on our new TAN website. Becky Ray made this a motion, Lenora Gusler seconded it and the motion passed unanimously.
We discussed the TAN newsletter. We are trying to figure out the most cost effective way of getting this to the residents of Tanbark. Several of us prefer to have it sent via e-mail. Lenora will revise the annual invoice and request up-to date e-mail addresses . She will also include a treasurer’s report. We also need to find out preferences for the newsletter, whether our individual residents prefer it in a hard copy or electronically. We can also post these newsletters on our new TAN website.
New Business:
· 2009 Membership Dues-Discussed continued from above about how to send statements and how to increase our TAN membership.
· Contractor Bids:
Lawncare & Irrigation services were discussed. Bids were discussed. Hillenmeyers and M. Gault are interested in submitting bids. Allen Akers of Green Acres Lawncare currently has the lawncare and irrigation contract. Our Lawn Maintenance is currently serviced by Trugreen. We need to make sure they (whoever) gets the contract has the water turned off in the Fall and turned on each Spring.
· City Neighborhood Associations:
David Carpenter was thanked for being our representative to the 2nd annual Neighborhood Summit meeting. He gave us a great , comprehensive written report earlier. David also has volunteer to contact DEEM to get more information about emergency planning and planning for people with special needs for our Tanbark neighborhood.
The Legacy Trail was discussed. This trail will go from a certain part of Lexington all the way out to the Kentucky Horse Park.
Our Neighborhood Association dues are due January 15th to the Fayette County Neighborhood Council.
The Citizens Police Academy was discussed and several Board members are going to participate in this and give us some feedbackJ.
Several other neighborhood comments were discussed and then a motion to adjourn was made by Lenora and seconded by Becky. The meeting was adjourned at 8:25 pm.
The next Board meeting is scheduled for April 21, 2009 at 7:00 pm at Twin Pines Christian Church.
