Tanbark Board Minutes Oct 26 2010

TANBARK ASSOCIATION OF NEIGHBORS
BOARD OF DIRECTORS’ MEETING
Oct 26, 2010

The TAN Board of Directors met at Twin Pines Christian Church on October 26, 2010 at 7:00 p.m. David Carpenter called the meeting to order and welcomed the new board members Tom Ralson, Maria Pennigton and Linda Little. Returning board members Steve Whyte and Lenora Gusler were also in attendance.
The Secretary’s Report from the annual meeting was not available and was deferred until the next meeting.
The Treasurer’s Report was presented by Lenora Gusler; a copy is attached. There is a balance of $8,292.03 in our account. 92 homes paid their 2010 dues for $11,040.00 in revenue. The income and expenses for the last three years were reviewed to bring the new board members up to date. A large portion of the miscellaneous Environment expenses in past years was for maintenance and repairs to mailboxes, sign posts, etc. and the landscaping done in conjunction with the Lexington grant funds. The major Environment expenses in 2010 were to update/upgrade the lighting fixtures and timers at the Tate’s Creek Entrance. Significant utility savings are expected from these changes.
The Treasure’s Report was approved.
Total Income 11,046.63
Total Expenses - 8,709.82
Overall Total 2,336.81
Beginning cash balance 5,955.22
Net Change 2,336.81

Old Business:
Annual Meeting
The Annual Meeting was reviewed. There was a smaller attendance this year, which may have been due to it being held later in the fall and other activities the same weekend. Special thanks to Phyllis Peters for heading up the planning and organization of the event as well as her service on the board. DaRae and Friends did an excellent job on the food again this year. A $100 donation was sent to Twin Pines Christian Church for the generous use of their facility. The funds were designated for the prayer garden.
Common Area Issues
The irrigation system will be winterized by the end of October; David will follow up to make sure this is done.
The board gave approval for the Garden Club to spend $200 to buy daffodil bulbs and fertilizer/bone meal. The bulbs will be planted at the Tates Creek entrance this fall.
The board approved $100 to be used for partial payment of a tree to be planted at the Tates Creek entrance in Tom Leinbach’s memory. Marge Leinbarch has offered to pay the balance of the expense.
The board also approved the expenditure of funds to obtain a professional landscaper’s evaluation on the Tates Creek entrance as to what could be taken away and added. Much of the original plantings are overgrown.
New Business:
Election of Officers for 2010-2011
The following officers were elected:
President – Lenora Gusler
Vice President – David Carpenter
Treasurer – Steve Whyte
Secretary – Tom Dalston

Zoya was not in attendance, but the board hopes that she and Alex will continue their excellent work on the Tanbark blog.
Other
The newsletter has been reactivated as a means of communication. Discussion and ideas to get more people involved included a Welcome Wagon, including neighborhood contractors’ and landscapers’ info in the newsletter or Blogspot for a fee, a Neighborhood Watch, recognition and awards, Block Captains, incentive for payment of dues, Progressive Dinner, etc.
New board members provided a little background about themselves and how long they had lived in the neighborhood. They are each a welcome addition to the board.
The next board meeting is scheduled for Tuesday, Jan 11, 2011 at 7 p.m. at Twin Pines.
Respectfully submitted,

Lenora L, Gusler
For Phyllis Peters, Recording Secretary
